Program Coordinator

Diaconate Formation

Under the direction of the Director, the Program Coordinator will assist with policy and program process of Diaconate Formation.



Because all Archdiocesan employees represent the Roman Catholic Church, they are expected to conduct themselves according to the goals and missions of the Church in performing their work.


  • Screen diaconal formation applications and inquires to establish proper point of contact with diaconal staff and director
  • Participate in interview process for Spanish speaking applicants and potential facilitators or others providing services to diaconal formation
  • Participation in the “inquiry” process currently in development

  • Develop, generate and maintain intermediate level procedures for various diaconate formation functions:
    • Administrative Handbook
    • Facilitator’s Handbook
    • Aspirancy Handbook
    • Candidacy Handbook
    • Ordination Year Handbook
    • Journey and Mentor Couple Handbook
    • Others TBD
  •  ​Participation in information days (Sundays)
  • Assistance to Spanish speaking applicants and candidates in writing and computer use
  • Assist at Religious Education Congress at planned Diaconate Formation booth
  • Assist in review of medical/health and other reports provided for applicants
  • Assists Director in the development and administration of department budget process
  • Acts as liaison between department head and his/her subordinates to ensure they accomplish work projects as planned.
  • Uses computer to type from handwritten material or rough draft copy; reviews drafts and finished documents to ensure correct grammar and spelling; may edit for clarity or effectiveness. May take and transcribe dictation.
  • Coordinates various meetings, workshops, and other activities and events.
  • Composes correspondence, reports, and memos with minimal input from supervisor.
  • Acts as information source on policies and procedures; interprets data and events; may develop new administrative methods to handle data and document procedures as necessary.
  • Operates computer to enter data, format and generate reports using standard software.
  • Maintains calendar; makes travel and hotel reservations for out-of-town travel; arranges and coordinates meetings and appointment schedules.
  • Sets up and maintains confidential files and other records.
  • Maintain candidates’ records, and class roosters updated.
  • Assist Program Facilitators and Formation Office staff on translating, reviewing various documents.
  • Provide assistance to Formation Program applicants regarding ongoing application process. 
  • Maintain applicant records and monitor timely submission of all requested documents; ensure accuracy and completeness of files.
  • Prepare all applicant’s files for submission to the Deacon Advisory Board for selection of new candidates.
  • Performs routine office duties such as ordering and distributing supplies, copying, collating and distributing reports, etc.
  • Takes minutes at meetings.
  • Proofreads correspondence, memos, and various forms and reports for completeness and accuracy.
  • Provides backup support to staff.
  • Assists in special projects as necessary.
  • Uses tact and diplomacy to handle sensitive calls and situations and refers them appropriately.
  • May perform bilingual administrative duties, including written or verbal translation (English/Spanish) as necessary.
  • Must have flexibility to work weekends and evenings.
  • Performs related duties as required. 


Education and Experience

Any combination of education and experience that provides the required knowledge, skills, and abilities, typically:

  • Active member of a Roman Catholic faith community.
  • High School graduation or equivalent.
  • 2 years of college preferred.
  •  2 years of administrative assistance training.



Knowledge, Skills, and Abilities


Knowledge of:


  • The mission and organizational structure of the Catholic Church.
  • Office procedures and business etiquette.
  • Current word processing programs including MS Word, Outlook, Excel, Publisher, Sharepoint, and Google Apps/Docs and Social Media.
  • English and Spanish usage, grammar, spelling, and punctuation.
  • Simple bookkeeping and record keeping methods and procedures.


Skill in:


  • Typing speed sufficient to meet production requirements (minimum of 45 wpm).
  • Written and oral communication. Must be fluent in English and Spanish.
  • Public contact.
  • Short-range organizational planning. 

Ability to:


  • Maintain confidentiality.
  • Compose correspondence and summarize information independently.
  • Occasionally lift up to 20 pounds.
  • Sit for sustained periods of time on a daily basis.
  • Perform tasks requiring intermittent bending, stooping, and walking.
  • Sustain frequent movement of the fingers, wrists, hands, and arms.
