Executive Assistant

POSITION SUMMARY:

Under the supervision of Executive Director, the Executive Assistant is responsible for administrative support as needed for the office of the Executive Director (ED) of the Foundation.

 

DUTIES AND RESPONSIBILITIES:

Because all Archdiocesan employees represent the Roman Catholic Church, they are expected to conduct themselves according to the goals and mission of the Church in performing their work.


  • Provides confidential administrative support to the ED in matters pertaining to the CEF.
  • Handles phone calls and correspondence for the ED.
  • Interfaces and maintains excellent relationships with Trustees, Donors, Schools, departments in the ACC and the Foundation team staff.
  • Manages the schedules, locations and notifications of all Trustee Board and Committee meetings; prepares presentation materials; attends meetings and prepares drafts of Trustee and Executive Committee meeting minutes.
  • Maintains Master Calendar for the CEF and schedules calendar time for the ED and for Trustee and Donor events.
  • Drafts and prepares correspondence and letters to conform to CEF standards.
  • Supports Development efforts with graphic designs as needed to create brochures, invitations, flyers, booklets and assists with website upkeep.
  • Maintains all files (topic, personnel, contracts, etc.) for the ED.
  • Participates in scheduling and attending school tours with donors and Trustees.
  • Assists in researching donors.
  • Supports and follows up on campaign solicitations.
  • Provides administrative support for all special events.
  • Performs data entry as needed.
  • Provides back up for Finance Manager on deposits, People Soft payable inputs, drafting, and preparation of donor acknowledgement letters.
  • Provides back up for Program Manager on administration of tuition programs (reading and cataloging applications, mailings)

Requirements:

MINIMUM QUALIFICATIONS:

Education and Experience

Any combination of education and experience likely to provide the required knowledge, skills, and ability, typically:

  • Active member of a Roman Catholic faith community.
  • High school graduation or equivalent.
  • College degree preferred.
  • Minimum six years experience in increasingly responsible secretarial/administrative positions.

 

Knowledge, Skills, and Abilities

  • Team Player: Maintains effective working relationships.
  • Computer Skills: Working knowledge with Microsoft Word, PowerPoint, Outlook, Excel, Publisher, the Blackbaud Database, PeopleSoft, Photoshop and other desktop publishing and creative computer programs.
  • Operation of standard office equipment and computer.
  • Telephone etiquette and telephone communications.
  • Organization: ability to meet deadlines and handle multiple tasks.
  • Coordination: handle various activities with efficiency, accuracy, and attention to detail.
  • Flexibility: some work required on weekends and evenings to support events and other functions.
  • Confidentiality and sensitivity to various situations and needs.
  • Communicates effectively in written and verbal form.
  • Works independently with initiative.

 

Must have the ability to:

  • Occasionally lift up to 20 pounds.
  • Sit for sustained periods of time on a daily basis.
  • Perform tasks requiring intermittent bending, stooping, and walking.
  • Sustain frequent movement of the fingers, wrists, hands, and arms.
