Administrative Assistant

Basic Functions

The Administrative Assistant is an integral member of the ADLA Office of Development and will provide primary support to the Campaign Office providing administrative, clerical, and technical assistance and support to the development program and campaign. The Administrative Assistant is often the first member of the team to connect donors and prospects with the Archdiocese and the greater Church. Professionalism, consciousness and organization are essential qualities of the Administrative Assistant.

 

Duties and Responsibilities

  • Update and maintain a confidential database of individuals, corporations, foundations, vendors and media contacts.
  • Promptly enter pledge reversals, pledge increases, and changes to billing cycle, start dates, and end dates into the database.
  • Receive, handle and transfer phone calls and messages promptly and courteously.
  • Assist with writing detailed reports on donor interactions in our database, including actions taken and follow up steps.
  • Assist with Campaign Office projects, format and send letters, create reports, proofread publications and documents, send, receive, sort, and distribute mail, and save monthly parish reports on the shared drive, as necessary.
  • Collect and prepare data for records and reports as needed.
  • Manage and respond to emails from parishes and/or donors pertaining to the campaign.
  • Assist with scheduling, organization, coordination and logistics of external meetings, events and internal staff meetings. Reserve meeting rooms, order refreshments, contact participants to confirm attendance, print agendas and handouts, take minutes and other duties as assigned.
  • Assist with creation and distribution  of acknowledgement letters for the campaign, as necessary.
  • Organize and file campaign documents regularly.
  • Organize and mail all fulfillment materials to parishes as requested.
  • Attend required meetings and participate as needed.
  • Assist with the coordination of  the parish rebate process including reporting, check requisitions, and communicating with parishes as needed.
  • Create and distribute parish goal and over-goal documents.
  • Order and keep an inventory of office supplies.
  • Assist with check requests and travel reimbursements. 
  • Maintain a thorough understanding of the mission, goals, and priorities of the Campaign Office.

Requirements:

Education and Experience

Any combination of education and experience likely to provide the required knowledge, skills, and abilities, typically:


  • Bachelor’s degree from an accredited institution of higher education.
  • Experience in Professional work in a fundraising environment. (preferred)


Knowledge, Skills, and Abilities

Knowledge of:

  • Professionalism, integrity and confidentiality
  • Ability to read, write and speak fluently in Spanish, Korean and/or Vietnamese. (preferred)
  • Strong work ethic, enthusiasm and confidence.
  • An empathy with the ethos of the Catholic Church.
  • Affinity with the overall mission of the Archdiocese of Los Angeles.

 

Skill in:

  • Fluency in Microsoft Office and database management. 
  • Strong planning and organizational skills.
  • Excellent verbal and written communications skills.
  • Strong skills in phone etiquette.

 

Ability to:

  • ​Demonstrated customer service capabilities.
