Assistant Operations Director

The Assistant Operations Director is a full-time, salaried position assisting and reporting to the Parish Administrator. This position is responsible for scheduling all use of common facilities at St. Monica and coordinating and supervising  the services required in facility use, such as catering, parking,  AV,  security, etc.   This person invites and coordinates outside community use and rentals of our facilities, and parking leases as an important source of parish revenue and works toward target revenue goals.   The position requires the mobilizing of skilled parishioners as volunteers in marketing, kitchen management, safety, security, parking and traffic, and other aspects of  facility operations.  This position requires the evaluation, selection, and coordination of the work of vendors and independent contractors, which include, among others,  caterers and parking attendants.  This work requires regular communication and collaboration with all St. Monica staff and volunteer facility users and with the maintenance and technology departments of St. Monica.  The Assistant Operations Director also orders and manages office supplies and equipment,  operates HVAC and card reader systems.  The position serves as the organizations Employee Transportation Coordinator and as member of the disaster preparedness and safeguard the children committee.  The position requires emergency back up management of Holy Grounds and front of office operations.

Requirements:

Qualifications
 
Qualifications for this position include a Bachelor’s Degree  or equivalent in a field related to facilities management and customer service, some  work experience in the fields of facilities management, customer service,  and/or marketing.  Some experience in managing volunteers and/or supervision of employees. Familiarity with the Catholic faith.  Must have a love a people and have a servant leadership spirit. Strong tech skills  and  ability to be proficient at various software programs related to building use.  Excellent communication and interpersonal skills, strong organizational  skills, the ability to cooperate and collaborate with a variety of constituents with multiple interests and varying levels of authority, a strong organizational aptitude, the ability to manage several projects simultaneously, and a good sense of humor.  Ability to mobilize many volunteers in different levels of involvement.
 

Responsibilities

 
1.      Oversees the facility scheduling process (EMS software)  by parish and schools and visitors.
 
2.      Advises and collaborates with ministry department coordinators and staff  in facility use, policies, procedures, and development.  Conducts training to volunteers and staff on facility use policies and procedures.
 
3.      Operates and programs a variety of building software and  systems:  lighting, AV, HVAC, card readers.  Trains others on staff in these systems as approved by administration.
 
4.      Promotes and manages rentals/outside use of parish (and occasionally school)  facilities by outside groups and individuals per community policies and development agreement.  Includes scheduling and supervision of caterers and other vendors, collection of agreements and fees and stipends, monitoring and inspections. Communicates with parish and school staff about these rentals.
 
5.      Manages parking leases by neighbors per development agreement and parish policies.
 
6.      Assists in the scheduling and supervision of front of office staff and development of procedures.
 
7.      Collaborates and communicates with maintenance staff regarding cleaning, set ups, repairs, etc.
 
8.      Collaborates and communicates  with technology staff regarding audio visual, wifi, computers, security cameras, office equipment. Serves as back up for basic AV  and technology services.
 
9.      Assists in the scheduling and supervision of repair, remodeling, and security contractors.
 
10.  Coordinates all arrangements for parking and traffic on and around our site per parish policies and procedures.  Recruits and supervises parking coordinator.  Coordinates parking when coordinator  or attendants  are  not available. Supervises maintenance staff when they are needed for parking. 
 
11.   Advises and collaborates with schools in facility use.
 
12.  Manages the budget and finances of rentals and office supplies  and expenses.
 
13.  Recruits, supervises, and collaborates with volunteers as needed and necessary.
 
14.  Coordinates  or assists with employee transportation management program.
 
15.  Serves as emergency back up to the Holy Grounds operations.
 
16.  Coordinates  some aspects of our emergency response plan and serves on the emergency response team.
