High School Registrar/ PowerSchool Manager

Cathedral High School, an all boys Catholic high school grades 9-12, is currently looking for a full-time Registrar.  The job is a salaried position with full benefits.

Cathedral High School Registrar:

  • PowerSchool Administrator, yearly rollover, end of year process, beginning of year process

  • Manage the school’s student information, new student enrollment, transfer students, academic records including permanent files, immunization, physicals, parent hours, and emergency information, including all pertinent information for families and student grades, up to date and accurate, Coordinates the collection and input of data from PowerSchool

  • Manages, support, troubleshoot with teachers on gradebook (Powerteacher Pro)

  • Coordinates and oversees distribution of Parent Portal login information and responsible for parent User IDs, passwords and access codes

  • Export reports and sets up for Attendance Office

  • Master Scheduling- Assist in building the academic schedule, including inputting and distributing faculty and grade level schedules; maintain accurate section lists for grade levels and classes/ Set up new year, Import Course Catalog., Verify all students have been set up correctly for scheduling, Verify faculty information is correct, Verify Master Schedule is correct and ready for new year, Verify rooms, section numbers are all set up correctly, Set up “Class Constraints” for “ALL” classes/ Oversee the building of the Summer School Academic Schedule

  • Every June must remove faculty, student and parent access to PowerSchool

  • Oversee and manages the comment/report card production process (maintaining database and proofing, printing and filing report cards and comments)Run/ mail eight report cards a year

  • Run Principal, Dean of Studies and Counselor reports regarding each report card each month

  • Oversee Alumni transcripts/ current students

  • Work on transcripts for current Seniors (who happen to mail numerous transcripts each year)

  • PowerSchool SchoolMessenger Administrator: set up

  • Maintain workflow of new and expiring student/staff PowerSchool accounts

  • Oversee Student Course Catalog/ updates/ ready by January for Registration of classes

  • Oversee Naviance and upload Senior transcripts and GPA/ upload freshmen

  • Oversee NCAA and upload Senior Transcripts and other grades

  • Submit Cal Grant GPA’s

  • Submit top Senior GPA’s and oversee the ELC (Eligibility Local Content to the UC’S)

  • Provide emergency class lists and update rosters to and from PowerSchool

  • Assist with data collection, analyzation and submission of annual reports to the San Francisco New Orleans District

  • Import and Export data from PowerSchool where needed for any type of reporting

  • Perform related work and reports as required

Administrative Assistant:

  • Work with the Business Office to coordinate enrollment of students along with  maintaining accurate students numbers up to date

  • Assist with implementing school-wide events such as Parent/Teacher Conferences, Honors Assembly, Star Scholar, Back-to School Night, Graduation and any school related event requiring students information/ Certificates/ Script for each event /Set up Bulletin for Honor Roll names

  • Provide administrative support to the Administrative Team

  • Provide scheduling and administrative support to the Athletics Department

  • Provide occasional administrative support to the Admissions Department (e.g., mailings, re-enrollment process)

  • Provide backup support to the Front Desk

  • Coordinate and/or assist with special projects as necessary

  • Complete other duties as assigned

  • Order and organize Senior Diplomas, Graduation Program, including college acceptances, edit graduation program as needed, provide final program to principal for production, manage diplomas on hold from business office

  • Is skilled in Google Suite, Microsoft Office, PowerSchool and other internal databases and software applications


  • Possesses a deep understanding of all components, features, and functions of PowerSchool SIS

  • Ability to clearly articulate thought, actively listen, share knowledge and recognize need to adapt communications to different audiences

  • Interpersonal skills  Ability to display an understanding of the broad scope of a project while maintaining focus on individual tasks

  • Demonstrate proficiency in data input and data accuracy required

  • Ability to manage own time and effort

  • Flexibility and a willingness to learn


  • Bachelor’s Degree Preferred

  • Bilingual preferred (Spanish)

  • PowerSchool Learning Management System experience

  • Considerable experience in school systems in an administrative capacity

  • Experience in data analysis or database programming​
