Position Summary

The Database Administrator is responsible for the maintenance of the database and all constituent records held within it.  Other responsibilities include recording all pledges and donations within the Raiser’s Edge software, building queries as requested by the Advancement Office and creation and management of event registration pages on event software such as One Cause. The Database Administrator reports directly to the Director of Advancement.  

Responsibilities:

Database Management

·     Perform global changes to constituent record 

·     Create informational and analytical queries 

·     Obtain new constituent records

·     Assist admissions by processing potential candidates

 

Mailings

·     Generate and mail tax-deductible thank you letters

·     Record gift-in-kind donations and generate appropriate tax-deductible letters

·     Perform constant updates of the constituent records

·     Create recipient lists and assist with preparation of mass emails through NetCommunity and Online Express. Track emailing responses

·     Create and organize annual fund appeal segmentations and mailing lists

·     Perform data merges in Word and Excel 

 

Accounting

·     Process, record, and post donation payments into Raiser’s Edge (RE) and Financial Edge (FE) Blackbaud systems

·     Record adjusting entries and other reporting entries into to FE system

·     Confirm and process matching gifts. Register and update information with matching gift entities

·     Process and record donation pledges

·     Reconciles Pledge Receivables with the Business Office and provides an Aging Report

·     Create weekly donation reports for President and Director of Advancement

 

Advancement Department

·     Create website portal pages (via NetCommunity) 

·     Create new RE funds and configure (link) them to FE accounts

·     Research new constituent prospects on Research Point 

·     Assist with all special events and projects as needed. Administrator will need to be present at school’s 3 major fundraising events: Golf Tournament, Christmas Luncheon and the CAPER Gala.

Requirements:

Requirements

·     Bachelor’s Degree in Information Systems/Database Management, or related fields, and/or certificate or equivalent work experience

·     Ability to handle sensitive and confidential information in a manner that complies with IRS regulations and professional fundraising standards

·     Knowledge of nonprofit institution operations and IRS requirements in posting and acknowledging gifts

·     Basic knowledge of accounting/bookkeeping

·     Proficiency in Microsoft Office Suite

·     Knowledge of Blackbaud K-12 Enrollment management (formerly OnRecord), Raiser’s Edge and Financial Edge​
