Associate Director of Faith Formation

The Associate Director of Faith Formation is an active and practicing Catholic, who is passionate about her/his faith, and who desires “to form loving disciples who will transform the world.”  This Associate Director will achieve this goal through varied forms and styles of formation and spirituality, while keeping in mind her/his own personal formation and spirituality.  The Associate Director will be a member of and work directly with the Faith Formation (FF) team—Director of Faith Formation, ministry administrator, coordinators and volunteers—and communicate consistently on all areas of the programs to assess needs, issues, concerns, and support.  The Associate Director’s primary area of program responsibility will be with our Youth Faith Formation Ministries (Early Childhood Education, Religious Education, RCIC, and Youth Ministry, which includes Teen Confirmation); at times, the Associate Director will help the Director of FF with adult formation opportunities as well.

Essential Duties and Responsibilities:

Faith Formation Program

·         Coordinate, attend, participate and help plan all sessions, retreats, outings that are part of sacramental preparation, middle school and high school confirmation program and develop good working and ministerial relationships with the participants, their families, and volunteers.

·         Coordinate, attend, participate and help plan planning meetings with the FF Team and other meetings as necessary to assist with planning all aspects of Youth Faith Formation programing.

·         Manage supplies, forms, and paperwork needed for each session, and work with FF Team to coordinate other organization needs as required, i.e. registration, database, communication with students and parents.

·         Assist in coordinating guest speakers for class sessions and events as needed.

·         Provide ongoing communication with parents as needed for all matters relating to registration and enrollment; providing prompt communication with parents and students to respond to issues as they arise.

·         Manage registration and database needs for enrolled students; maintain records of permission forms, attendance and payments and act as primary contact person for all matters relating to registration and enrollment.

·         Create and manage budget details for the catechetical year.

·         Coordinate retreat planning scheduling, supply purchasing, registration and other logistics for Sacramental preparation (First Reconciliation, First Eucharist and Teen Confirmation) and the Confirmation year 2 retreat (day and weekend)

·         Manage ceremony and rehearsal logistics including creating certificates, supply purchasing, communicating with the families with details for the Sacraments(First Reconciliation, First Eucharist and Teen Confirmation)   

·         Create fliers and permission forms for upcoming events.

·         Facilitate communication with St. Monica Catholic High School and Elementary school about ministry activities.

·         Maintain current participant and family database.

·         Gather and submit information for the weekly bulletin.

·         Participate in all staff meetings, retreats and other staff events.

            Working with Volunteers

·         Maintain ongoing communication with all volunteers assisting in the program.

·         Ensure all volunteers and programs comply with the requirements of Safeguard the Children and Fingerprinting.

·         Recruit and manage new volunteers through broader parish outreach.

·         Offer regular training and inspiration to the catechists and volunteers.

·         Be a positive Catholic role model for young people, displaying and practicing your faith.

·         Be passionate about our ministry, eager to help our young people to know Christ and deepen their faith, and excited about creating a safe place for the Holy Spirit to do the work!



Required Skills and Qualifications:

  • Required:  Bachelor’s degree and Basic Faith Formation Certification with regular workshop and formation experiences required

Strongly Preferred:  Master’s degree in theological studies or Master Catechist Certification

  • Safeguard the Children Requirements (VIRTUS & Fingerprinting)

Preferred:  Has already been fingerprinted through the Archdiocese of Los Angeles, and has a current VIRTUS Certification, with knowledge and compliance with all VIRTUS requirements

Required:  Willingness to complete these Safeguarding the Children requirements immediately upon hire.

  • Preferred:  Certified as an Empowering God’s Children Catechist

Required:  Willingness to complete Empowering God’s Children Certification

  • Experienced in Faith Formation, working with parents and children/teens in youth ministry or other parish programs, and has familiarity with Church organization and policies
  • Demonstrated leadership and volunteer management experience strongly preferred.
  • Possesses strong interpersonal and communication skills—keeping our volunteers, participants, and parents involved and informed is a key part of this job!
  • Knowledge of current standard business software and the ability to quickly learn new, innovative applications, including FlockNotes.  (The parish currently uses Raiser’s Edge, Financial Edge, and MS Office.) The Associate Director will manage volunteer and participant registration, and a database for each ministry group. 
  • Demonstrated organizational and multi-tasking skills are absolutely essential to serve over 300 participants and 50 volunteers.
  • Proven team player who can work collaboratively, while also taking initiative and working independently.
  • Fluency in English.
