Development Administrative Coordinator (Temporary)

Under the supervision of the Development Director, the Development Administrative Coordinator is responsible for administrative support as needed for the development operations of the Foundation. 


Because all Archdiocesan employees represent the Roman Catholic Church, they are expected to conduct themselves according to the goals and mission of the Church in performing their work.

Manages the calendar, schedules meetings, tracks follow-up activity, reminders, and assists in preparation for all appointments for the Development Department.

Handles the support needed by the development team, including the arrangement and logistics of meetings, with special attention to details and necessary follow-up.

Prepares correspondence, formats letters, and administers the “thank you” process for acknowledging gifts, all in conformity to CEF/ACC standards.

Receives incoming gifts to the Foundation and prepares gift cover sheets.

Provides timely, accurate and complete Foundation gift information and documentation (including checks, correspondence and completed gift cover sheets) to the Archdiocese Development department Advancement Services team for processing and entry into the Blackbaud database. 

Performs other data and information entry into CEF records as appropriate.

Maintains and orders the inventory of all stationery and supplies for Development.

Interfaces and maintains excellent relationships, as required, with donors, vendors, select departments in the ACC and the Foundation’s staff.

Supports the Development projects and all efforts of the Development Department.

Performs other duties as assigned.


Education and Experience

Any combination of education and experience likely to provide the required knowledge, skills, and abilities, typically:

·      College degree preferred.

·      Minimum three years of experience in increasingly responsible administrative positions.


Knowledge, Skills, and Abilities

 Knowledge of:

·      Confidentiality and sensitivity to various situations and needs.

·      Knowledge of databases and information searches  

·      Telephone etiquette and professional standards for communications.


Skill in:

·      Team Player: Maintains effective working relationships.

·      Computer Skills: Working knowledge of Microsoft Word, PowerPoint, Outlook, and Excel.


 Ability to:


·      Organization: ability to meet deadlines and handle multiple tasks.

·      Ability to handle various activities with efficiency, accuracy and attention to detail.

·      Ability to communicate effectively in both written and verbal form.           

·      Ability to work independently with initiative and to make sound judgment calls.  

·      Occasionally lift up to 20 pounds.

·      Sit for sustained periods of time on a daily basis.

·      Perform tasks requiring intermittent bending, stooping, and walking.

·      Sustain frequent movement of the fingers, wrists, hands and arms.
