​POSITION SUMMARY

The Program Coordinator collaborates with the Senior Program Officer in all aspects of the tuition awards programs, data collection for program funding, and development efforts and compliance.  

The Program Coordinator is also responsible for managing and coordinating all designated/non-tuition-based programs to ensure that goals and objectives specified for the program are accomplished in accordance with established priorities, time limitations, program budget or other specifications.

 

DUTIES AND RESPONSIBILITIES

Because all Archdiocesan employees represent the Roman Catholic Church, they are expected to conduct themselves according to the goals and mission of the Church in performing their work.

 

·   Initial point of contact for all schools, parishes, and parents; main reception for program office.  Maintains excellent relationships with Schools, parents, ACC department of Catholic school supervisors and the CEF team staff.

·    Working closely with principals and the Senior Program Officer, responsible for the logistics and scheduling for CEF’s on-site tuition award application process for all participating Catholic schools in the Archdiocese of Los Angeles.

·     Supports the Senior Program Officer in all matters pertaining to all CEF programs, its process, and reporting.

·     Supports the Program Manager and is responsible for preparing on-site documents, printing and forms for program staff.

·     Working closely with the Executive Director of Operations, manages and coordinates the programs funded by the Santa Barbara Endowments (Funds Held in Trust).

·     Responsible for collecting data and information for all designated & non-tuition-based programs for, compliance and reports; coordinating and reporting of non-tuition based

programs specifically assigned by the Executive Director of Operations or Senior Program Officer.

·      Responsible for conducting school audits and preparing final audit reports.

·      Assists with providing supervision of volunteers for the program office.

·      Responsible for all TAP award mailings, cycle 1/special 8th grade correspondence (mailings and emails), certificates, and inquiries, and follows up on program related questions and/or issues.

·       Assists with the application review process, data entering, and archiving as needed

·       Manages, organizes and prepares the inventory and procurement of all program related supplies, printing, and postage.

·       Manages the relationship with program related vendors/contractors.

·       Assist in the Foundation’s special events as needed.

Requirements:

Minimum qualifications:

     Education and Experience:

        Any combination of education and experience likely to provide the required knowledge, skills, and abilities,  typically:


·         Active member of a Roman Catholic faith community

·         College BA preferred or equivalent experience.

·         Minimum three-year’s experience working in a non-profit and/or administrative capacity

·         Bilingual English-Spanish preferred


     Knowledge, Skills, and Abilities

     Knowledge of: 

    ·         Familiar with non-profit programs, program funding, program reporting, data collection and/or compliance

·         Coordination: handle various activities with efficiency, accuracy and attention to detail.

·         Being able to hold confidential information to a high degree.

 

     Skills in:

·         Computer Skills:  Working knowledge with Microsoft Access, Word, Outlook, Excel

·         Must have strong interpersonal, written and oral communication skills.

·         Critical thinking skills

·         Creative, strategic and analytical thinker

·         Well organized with strong time management skills; able to meet deadlines and multi-task.

·         Team player with passion and vision in creating strong, collaborative working community.

·         Highly productive with a high level of initiative, motivation, and innovation.

 

     Ability to:

·      Drive throughout the 3-county areas of the Archdiocese of LA

·      Occasionally lift up to 20 pounds

·      Operate standard office equipment, digital camera, computer terminal and scanner

·      Sit for sustained periods of time on a daily basis.

·      Perform task requiring intermittent bending, stooping and walking.

·      Sustain frequent movement of the fingers, wrists, hands an arms.
